When your workplace checks devices

Work phones and managed devices can be visible to employers. Learn what they can see and how to keep personal photos separate.

October 2026

An email from IT says devices will be checked next week. Or you are leaving the job and have to hand the phone back on Friday. You start to wonder what is on it, and what they can see.

This is general information, not legal advice. What an employer can see or check depends on the device, your contract, local law and company policy.

First, work out which kind of phone it is

A phone your employer gave you and set up is often fully managed. They may be able to see which apps are installed, enforce settings, and erase it remotely. A personal phone with a work profile on Android, or a managed work account on iPhone, is different: work data lives in its own space and the employer usually sees much less of the personal side. To check, look in Settings for device management or profiles, or simply ask IT what they can see. They get that question often.

If it is a work phone and the check is soon

Move anything personal off it today: photos, notes, saved logins. Sign out of personal accounts, and make sure your personal photo backup is not connected. Do not try to hide things on a managed device. Installing a vault app to hide content from your employer may break policy, and a managed phone can show which apps are installed. Separation is the honest and effective answer.

If it is your own phone with work on it

Check that personal photos are not syncing to a work account, and that work photos are not landing in your personal cloud. Keep work apps inside the work profile. On your own device, personal privacy tools, including VaultWell when it arrives, are yours to use, but your employer's approved tools come first for anything confidential from work.

Going forward

Read the IT policy once; it usually explains what is monitored and when. And remember that a managed device can be erased remotely, so nothing you care about should live only there.
